EOY Closing Procedure and Records Retention

 

Complete Prior to June 30th

 

As part of the Wen-GAGE i-Gradebook End Of Year Closing Procedures, the following information will no longer be accessible in the Wen-GAGE i-Gradebook after June 30th of the current year.

Section Recording Status

Announcements (LEA, Site, and Section)

Student Eligibility and Student Eligibility Calculation Notes

Student Grade Calculation Notes

Student Assignments/Scores

The Section Group Lesson Plans and Assignments will remain available in the new school year.  

 

1. Data to verify

 

From the Instructor WorkspaceàScores Quick Access ButtonàRecord Scores Page

A.       Verify the current School Year and Session are selected.

B.       Select a Section to view.

C.       View Record Scores page by Session using the drop down options.

D.      Verify all applicable assignments have been scored.

 

From the Instructor WorkspaceàScores Quick Access ButtonàRecord Scores Page

A.       Verify the current School Year and Session are selected.

B.       Select a Section to view.

C.       View Record Scores page by Session using the drop down options.

D.      Verify all grades have been recorded for every grading period. NOTE: Grade could contain (est) as this is an Estimated grade and not a Recorded grade.

 

Repeat steps in Section 1 for each Section and Session.

 

 

2. Reports to verify and print

 

In addition to a hard copy of the reports required by State Statute, your Board of Education and Regional Accreditation Officer, it is important to also save a PDF digital copy of these reports.

For records retention at your district, a historical folder should be created locally for storage of the current school year’s digital copies. This will provide your district an easy way to reference this historical information in the future. IMPORTANT: The historical folder should be secured by your network administrator, giving access only to the appropriate users.

                             From the Instructor WorkspaceàOptions MenuàReportsàProgress Report

A.       Verify the current School Year and Session are selected.

B.       Select one of the Sections from the drop down options.

C.       Select Include Off-Roll.

D.    Select Print Attendance Detail.

E.       Select Print Assignments Detail.

F.       Deselect Print Incomplete And Unscored Assignments Only (if it is selected).

G.      Select Print Grades Detail.

H.      Select Print and Save as a PDF to the current year’s historical records folder using File name: Progress Report Session X Section Name Period X (i.e., Progress Report Session 1 English IV period 1).

I.         Repeat steps for each Section.

J.        Repeat steps A thru I for each Session.

 

                             From the Instructor WorkspaceàOptions MenuàReportsàSection Assignment Listing

A.       Verify the current School Year and Session are selected.

B.       Select one of the Sections from the drop down options.

C.       Select Replace Name With ID, if applicable.

D.      Select School Year for Selected Date Range.

E.       Select Print and Save as a PDF to the current year’s historical records folder using File name: Section Assignment Listing Section Name Period X (i.e., Section Assignment Listing English IV period 1).

F.       Repeat steps for each Section.
